Logs

Analytics → Logs is your operation’s paper trail. It answers two everyday questions:

  • Who did what, and when? - the Activity log.
  • Did that email actually go out? - the Emails log.

Open it from the client portal main menu under Analytics, or go straight to Analytics → Logs ↗. A toggle at the top switches between the two logs.

By default, Logs is operator-wide: it covers everything your team has done across all the venues you run. The portal-wide single-venue switcher you use elsewhere does not narrow the log. Logs does, however, have its own optional Venue filter (see Finding a specific action) if you want to focus on one or more venues.

The Activity log is a single, newest-first timeline of the meaningful actions your team takes - so you can see, for example, who cancelled a booking, who marked a guest as a no-show, or who downloaded an export. It pulls together two kinds of activity:

  • Day-to-day booking activity - the booking lifecycle: created, cancelled, marked no-show, checked in, tables (re)assigned, holds placed, and so on.
  • Sensitive actions - things worth keeping a record of, such as analytics exports and billing changes.

Each row shows:

Column What it tells you
When The date and time the action happened.
Who The teammate who did it.
Venue The venue the action relates to.
Action What they did (for example, a booking was cancelled).
What changed The record it happened to - the kind of record and its reference.
IP address The network address the action came from.

Only your own team’s actions appear - the log never shows other operators’ activity.

Two tools help you narrow a busy log:

  • Search - type a name, an action, or a record reference to filter the list.
  • Filters → Venue - narrow the log to one or more of your venues. Leave it empty to keep the full operator-wide view.
  • Filters → Category - focus on one kind of activity (for example, just bookings, or just billing).

Long logs are paged, so you can step back through history a page at a time.

Switch the toggle to Emails to see the outgoing emails your venues have sent - guest confirmations, reminders, and the like. It’s the place to check whether a message reached someone, or why one didn’t.

Each row has four columns: When it was sent, the To recipient, the Subject (if the message had no subject set, the template name is shown here instead), and the Status (Sent or Failed). When an email failed, the reason appears next to the Failed status in that same column, rather than in a column of its own. Use Filters → Status to show only sent or only failed emails, and Search to find a particular recipient or subject.

You don’t have to open Logs to keep half an eye on activity. The main Analytics Dashboard has a Live Activity panel that shows the most recent handful of the same activity events at a glance. When you want the full, searchable history, come here to Logs.

Because the log can contain sensitive activity, the Logs view is limited to account owners and teammates you’ve granted access. There are two ways to grant it under Team, roles & permissions:

  • Give the role Settings access, which includes Logs, or
  • Give the role the dedicated Logs permission on a custom role. This is the more precise, least-privilege option: it opens Logs on its own, without also handing over Settings.

If a teammate has neither, the Logs view simply won’t appear for them.
