Aimy, your portal assistant
Aimy is the AI assistant built into the Sidedoor operator portal. Instead of clicking through screens to find a number or change a setting, you can just ask - Aimy looks things up in your own account and answers in plain English, and can carry out actions for you once you confirm them.
Where to find Aimy
Section titled “Where to find Aimy”When Aimy is switched on for your account, a floating Open Aimy button sits in the bottom-right corner of the client portal ↗. Click it and a chat panel slides in from the right. Type your question at the bottom and press Enter to send.
If you don’t see the button, Aimy isn’t enabled on your account yet - see Availability & billing below.
The panel stays with you as you work: if you follow one of Aimy’s links to another part of the portal, it remembers your conversation and reopens where you left off. Your chat lives only in your own browser for that session - it isn’t stored on our servers, and the next person to sign in starts fresh.
What you can ask
Section titled “What you can ask”Aimy can read across the venues you run and answer questions about them. For example:
- “How many bookings do I have today?”
- “What events are coming up across my venues?”
- “Give me a summary of my venues.”
- “Who’s on my team, and what role does each person have?”
- “Show me this week’s reservations for The Blue Door.”
It works with your venues, bookings and reservations, availability, events and ticket types, vouchers, guests, tables and floorplans, shifts, pricing and policies, and your team. Aimy always uses your real, live data - it looks the answer up rather than guessing - so the numbers it quotes are the same ones you’d see on the page.
Aimy talks in everyday language. It won’t show you raw data, web addresses or technical IDs - just plain answers, and clickable links to the right screen when it points you somewhere.
Asking from Analytics, Reports and Business intelligence
Section titled “Asking from Analytics, Reports and Business intelligence”The Ask boxes on the Analytics dashboards, Report builder and Business intelligence pages open this same chat panel, so pressing Ask (or one of the example prompts) starts a conversation here rather than a one-off lookup.
Asking from one of these pages, Aimy takes into account what’s already on screen - the period and venues selected, and, in the Report builder, the report you’re building - so a question like “why were covers down?” is scoped to what you’re already looking at. Naming a different period or venue in your question overrides it.
Getting things done - you’re always in control
Section titled “Getting things done - you’re always in control”Aimy can also do things, not just answer - like adding a teammate, creating a table, or updating a setting. Crucially, Aimy never makes a change on its own.
When you ask for something that would change your account, Aimy shows a confirmation card that spells out, in plain words, exactly what it’s about to do. Nothing happens until you press Approve & run - and you can always press Cancel instead, which changes nothing. Sensitive details like passwords are masked on the card.
Because the change only runs when you approve it, it’s genuinely you performing the action - so it’s subject to exactly the permissions your account already has (see below).
Aimy only ever acts as you
Section titled “Aimy only ever acts as you”Aimy works strictly within your own account and your own permissions:
- It can only see and touch your operator account and the venues you run - never another business’s data, and never platform-admin data.
- Every lookup and every action runs under your own sign-in and your role’s permissions. Aimy can’t do anything you couldn’t do yourself in the portal.
- If a teammate uses Aimy, it’s bound by their role. Ask Aimy to do something your role doesn’t allow and it simply can’t - it’ll tell you that the action isn’t permitted (an owner or admin may need to grant the permission first), rather than doing it anyway.
In short, Aimy is a faster way to drive the portal you already have - it never gives you, or anyone on your team, access beyond what your role allows.
Availability & billing
Section titled “Availability & billing”Aimy is an add-on. It’s switched on per account under Settings → Add-ons, and the floating button only appears once it’s enabled - so an account without Aimy never sees it. Aimy also powers the Advanced tier of Business intelligence, which requires the Aimy add-on to be active.
Your monthly allowance
Section titled “Your monthly allowance”Aimy usage is metered against a monthly allowance. The chat panel header shows a small Usage bar - how much of this month’s allowance you’ve used, as a percentage - and it turns amber as you get close to the limit. Hover it to see the amount used and your allowance for the period.
- The allowance resets at the start of each month.
- If you reach it, Aimy pauses replies for the rest of the month and lets you know; it picks back up automatically when the new month begins. (Enhancements Aimy makes elsewhere, such as rewording Business intelligence advice, draw on the same allowance.)
- There’s also a light fair-use limit on how many messages you can send in quick succession; if you hit it, just give it a moment and try again.
Tips for good answers
Section titled “Tips for good answers”- Be specific about the venue. If you run more than one venue, name it (e.g. “for The Blue Door”) so Aimy acts on the right one. If it’s unsure, it’ll ask.
- Give it what an action needs. To create a login for a colleague, for instance, Aimy needs their name, email and which role to assign - it’ll ask for anything missing rather than guess.
- Read the confirmation card before approving. It’s the plain-English summary of exactly what will change.
